How to Hold an Effective Board Meeting
A well-organized board meeting can help communicate important information about the company to teams in a efficient and productive manner. If these meetings are held in person, on the phone or remotely via a board portal, having the right structure in place to boost efficiency is crucial to the success of your board meetings.
A well-organized agenda that is centered around key topics is a good way to keep the group on track throughout the entire meeting, and avoid getting distracted. It is also beneficial to set aside only 30 minutes per topic. This allows the board to talk about each topic thoroughly, but leave time for other items on the agenda.
Distribute all of the materials needed (agenda, previous minutes, correspondence, policy proposals as well as policy proposals, etc.) to participants prior to the meeting. This will ensure everyone is up-to date and ready to engage.
The majority of the board’s meetings should be spent discussing strategies that promote growth. Identifying roadblocks and creating solutions to these problems will ultimately bring the company closer to its goals. Lastly, it is important to review any major accomplishments or milestones the organization has made since the last meeting.
After the board meeting it’s important to review the process and determine what can be done better for future meetings. It’s also recommended to have a conversation with the attendees following the meeting to collect feedback on what they enjoyed and didn’t like and also suggestions for ways that meetings can be more efficient in the future.
